Executive Assistant

 



  • Top Executive Level Support required for the CEO
  • Challenging, busy role - Excellent Penrith Location
  • $60,000 – 65,000 per annum

A fantastic opportunity is available for an experienced Executive Assistant to provide high-level support to the CEO of a top tier construction and property investment firm. This is an outstanding opportunity to join a highly regarded company and work alongside a high profile Executive.

As right-hand to the CEO you will be the first point of contact for all correspondence including emails and calls. Due to the nature of this role, the highest level of confidentially and discretion is essential. You will manage a complex diary, which can change at anytime, coordinate an extensive meeting schedule, liaise with internal and external stakeholders and provide an element of personal support. Experience with a proven ability to juggle multiple projects and prioritise tasks according to time deadlines. You need to have strong attention to detail and have the opportunity to coordinate roadshows, company events and new and ongoing project work. Assisting with a multitude of projects, preparing ????? ????? presentations, preparing ????? ????? planning processes.

You must have a strong client service ethic and exceptional presentation and communications skills. Your previous EA experience supporting at senior level is essential combined with experience in the construction and property investment sectors. You must be highly professional and understand the range of demands that arise from supporting senior management.

You will be the gatekeeper and you will pre-empt the CEO’s every need, liaise with top level executives, build strong client relationships internally and externally and be willing to assist with all administrative needs to make life easier. You will have Advanced Microsoft Office skills, be able to pull reports and spreadsheets together, have the flexibility to go above and beyond in the role and always be one step ahead. You'll know exactly what's happening, what deals are being done and when and where.


There's also the opportunity for you to make suggestions to improve systems and to inject your own personal flair. Discretion, confidentiality and the ability to problem solve and provide solutions are paramount.


This position is ideal for someone who loves a busy, dynamic, fully involved position where they will have autonomy and full exposure to the business. You will have strong EA experience, be confident, professional and adaptable to changing environments.


Key responsibilities include:

  • Executive Assistant support to the CEO
  • Support to the CEO with ad hoc assignments
  • Pro-actively manage the key appointments and meeting schedule for the CEO;
  • Assist CEO with coordination of documentation including Board Papers and Committee papers;
  • Ensure that all events for the CEO are coordinated and executed seamlessly
  • Administrative duties and supporting the team as required.
  • Detailed domestic travel itineraries, travel logistics, accommodation, coordinating meetings, meeting material and information prepared before travel
  • Email Management and Meeting coordination weeks and months in advance for the CEO
  • Liaising and communications with clients on behalf of the CEO
  • Spreadsheet and document management
  • Coordination of client events, lunches, entertainment
  • Screening and management of correspondence including emails
  • Drafting of correspondence
  • Liaising with key clients
  • Preparation of professional standard presentations and reports
  • Assisting in all project work
  • Diary management including forward planning and itinerary preparation

To be successful in the role you will:

  • 5 years + experience in a similar EA role within the Construction and Property Investment industry;
  • Extensive experience in an EA/PA role supporting senior management;
  • Exceptional communication skills;
  • Ability to coordinate multiple tasks and activities seamlessly with minimal fuss;
  • Proven ability to develop new processes and improve existing processes;
  • Advance user of all Microsoft Office products;
  • Ability to interact with people at all levels.
  • Must have strong multi tasking skills, ability to prioritise workload, superior attention to detail
  • Excellent organisational and coordination skills
  • Strong communication and relationship building/networking skills
  • High level of professionalism, confident, resilient personality
  • Ability to work in a high pressured, busy, varied role
  • Proactive, resourceful, strong common sense level and quick thinking mindset
